SignBas3 has published a free sign shop software evaluation scorecard for sign manufacturers, wide-format printers, vehicle wrap businesses and installation teams comparing business-management platforms.

The downloadable CSV and its full buyer guide give every shortlisted system the same test: carry one realistic sign job from customer enquiry and revised estimate through artwork approval, production, purchasing, field completion, accounting handoff and final margin.

The scorecard is available without registration. Sign businesses can open it in Excel, Google Sheets or another spreadsheet, add the products they are considering and keep evidence beside each score.

Twelve weighted areas of sign shop operation

The scorecard covers CRM and customer context, estimating and accepted scope, artwork approval, job management, production planning, materials and purchasing, wide-format and workshop evidence, installation and mobile work, time and labour, job costing and reporting, accounting and document providers, and migration, control and data ownership.

Job management, estimating and production planning carry the highest individual weightings because they preserve the commercial promise and coordinate the work the business must deliver. Artwork, purchasing, installation and cost then test whether that operating thread survives the handoffs where sign jobs commonly become fragmented.

Time remains part of the evaluation as an actual-cost input, but the scorecard does not make timesheets the centre of the system. The stronger test is whether labour sits beside accepted scope, approved artwork, material and supplier cost, production evidence, field completion, invoice value and final margin.

A repeatable demonstration method

Every product is scored from zero to five against observable evidence. Zero means the workflow is absent. One means the business depends on a separate product or workaround. Three means the job can proceed with some manual handoff. Five means the workflow is connected and proven using realistic data and exceptions.

The demonstration starts with a customer, contacts, a site and a fixed commitment. The estimator builds and revises a multi-part quote. The accepted version becomes production work. Two artwork versions test comments and formal approval. A missing input tests purchasing and receiving. A changed commitment tests the production plan. Mobile completion returns site evidence. The final review asks management to explain the job result from the records captured while the work was run.

This method prevents a comparison from becoming a tour of separate polished screens. Each department must receive the same job and preserve the information, ownership and evidence required by the next.

Built around the core sign business

SignBas3 publishes the framework and competes in the category it evaluates. The criteria are deliberately visible and reusable so businesses can apply them equally to SignBas3 and every alternative.

SignBas3 is built around one core operating record. CRM and estimating establish the customer and sold scope. Artwork approval controls the authorised production version. Job management, scheduling and purchasing coordinate readiness. Mobile field work returns installation evidence. Job costing and reporting connect the commercial decision with actual performance.

Xero, MYOB or QuickBooks can remain the selected accounting ledger, while Google Drive or Dropbox can remain the document provider. SignBas3 connects the operational work that gives those financial records and files their job context.

The complete scoring method and demonstration script are available in the SignBas3 sign shop software buyer's guide.
