Edit draft invoice lines without losing their source

Adjust the customer-facing draft while keeping quoted scope, approved variations and invoice-only additions commercially distinct.

Step by step

  1. Open the Draft invoice and review the source group shown for each line.
  2. Edit the customer-facing description, quantity or value only within the supported draft controls and approval policy.
  3. Keep quote-derived rows associated with the accepted scope instead of recreating them as manual additions.
  4. Keep approved variation rows separate so changed scope remains visible.
  5. Use invoice-only lines only for intentional billing additions that are neither accepted quote scope nor an approved variation.
  6. Save, reopen and review totals and the rendered document before approving the invoice.

Good practice

Editable presentation does not erase provenance. If a commercial source is wrong, correct or reselect the source rather than disguising it with a manual row.

When you are finishedThe draft reads clearly to the customer and every line can still be explained from its commercial source.

Before you begin

  • The invoice is still Draft.
  • The person editing understands the accepted quote and approved variations.
