Configure reusable job tasks

Create task templates with useful names, effort and rates so quotes, jobs, scheduling, timesheets and costing speak the same language.

Before you beginUse a representative record and confirm you have the permissions required for this area.

Step by step

  1. Open Settings → Job Tasks and review existing templates before adding another name for the same work.
  2. Create one template per meaningful operating activity, using words the estimator, workshop and field team all recognise.
  3. Set realistic default hours, cost rate and billable rate where the template supports them.
  4. Order the templates so common work is easy to find and retire obsolete choices only after checking active jobs.
  5. Add the templates to a representative quote or job and confirm they remain understandable in the scheduler and timesheet picker.

Good practice

Do not turn every tiny action into a template. Use a task when ownership, capacity, time or commercial performance should be visible later.

When you are finishedA representative job receives recognisable tasks that can be estimated, owned, scheduled, timed and reviewed.

Before you begin

  • The business has agreed a practical task vocabulary.
  • Labour rates and production departments have owners.

Settings that change this workflow

The same task can behave differently between organisations. Check these settings before treating a different result as an error.
